Privacy policy

Solidus Systems ("Solidus," "we," "us") operates Solidus One, a software platform for U.S. gun ranges and federal firearms licensees (FFLs). This policy describes how we handle personal information for our website and platform. This policy is designed for United States users only. We do not currently offer the service to EU/UK data subjects under GDPR-specific terms.
Who this policy covers
- Business customers — FFLs and ranges that subscribe to Solidus One (tenants)
- Authorized users — staff who log into the dashboard on behalf of a tenant
- Website visitors — individuals who visit solidusone.app
When a range or FFL collects information about its customers (members, shooters, firearm transferees), that organization is generally the businessresponsible for those customer relationships. Solidus processes that information on the tenant's instructions as a service provider.
Information we collect
Depending on how you interact with us, we may collect:
- Identifiers — name, email, phone, account ids
- Commercial information — subscriptions, POS transactions, membership status
- Compliance-related information — where enabled by the tenant, firearms transaction and Form 4473 data required for federal recordkeeping (stored in an isolated compliance database)
- Images and documents — waivers, identification images, and similar files uploaded through tenant workflows
- Payment information — payment tokens and masked card details (we do not store full card numbers)
- Internet or device information — IP address, browser type, and security logs
- Staff AI usage — prompts and responses in optional AI features, subject to data minimization rules
How we use information
- Provide, secure, and improve Solidus One
- Process payments and subscriptions
- Support ATF and state compliance workflows enabled by tenants
- Authenticate users and prevent fraud or abuse
- Respond to support, legal, and security requests
- Analyze product usage in aggregate (see subprocessors)
We do not sell personal information
We do not sell personal information and do not share it with third parties for cross-context behavioral advertising. You may contact us about opt-out requests at branningteam@gmail.com.
Subprocessors
We use service providers to host and operate the platform, including separate U.S. Supabase projects for operational and compliance data, Vercel for application hosting, Payroc for payments, and PostHog for analytics. A current list is maintained in our subprocessors documentation.
Retention
We retain information as long as needed to provide the service and meet legal obligations. Firearms compliance records may be retained for twenty years or longer as required by U.S. federal law. Operational audit and security logs are typically retained for seven years.
Your U.S. privacy rights
Residents of California and other U.S. states with consumer privacy laws may have rights to know, access, correct, or delete personal information, subject to legal exceptions (including compliance record retention).
To exercise rights regarding your Solidus account, email branningteam@gmail.com with your name, state of residence, and request type. We aim to acknowledge requests within ten business days and respond within forty-five calendar days where applicable.
For information collected by a gun range or FFL about its customers, contact that business directly; we will assist them as a service provider when authorized.

Children
Solidus One is not directed to children under 13. We do not knowingly collect personal information from children.
Changes
We may update this policy. We will post the revised date at the top of this page. Material changes may be communicated to business customers by email or in-product notice.
